Job Title: FTC: Chief of Staff / Executive Assistant to CEO

Role Purpose:
This short-term role supports the Chief Executive Officer (CEO) by providing high-level administrative assistance and managing internal office operations. The position is critical for streamlining communication, managing executive schedules, and ensuring the successful execution of time-sensitive strategic initiatives.
Responsibilities:
Calendar Management:
- Maintain and manage the CEO's schedule, including organizing meetings, appointments, and events.
- Coordinate both internal and external meetings, ensuring all required materials are prepared in advance.
Communication Management:
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, proofread, and finalize correspondence, reports, and presentations.
- Prioritize and respond to incoming calls and emails on behalf of the CEO.
Travel Arrangements:
- Plan and manage travel itineraries, accommodations, and logistics for domestic and international trips.
Meeting Support:
- Prepare agendas, presentations, and briefing materials for executive and stakeholder meetings.
Document Management:
- Organize and maintain digital and physical records, ensuring confidentiality and security of sensitive information.
Project Assistance:
- Assist the CEO in tracking and managing critical projects, including conducting research and providing data analysis.
- Collaborate with relevant departments to facilitate cross-functional projects.
Expense Management:
- Reconcile and manage expense reports, ensuring compliance with company policies.
Qualifications:
- Bachelor’s degree in business administration, Communications, or a related field (or equivalent professional experience).
- A minimum of 5 years’ experience as an Executive Assistant, Chief of Staff, or in a similar role supporting C-suite executives.
- Strong organizational and multitasking skills with the ability to work effectively under tight deadlines.
- Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, Zoom).
- Proven ability to handle confidential and sensitive information with discretion.
- Experience managing travel arrangements and complex schedules.
- Analytical mindset with attention to detail and problem-solving abilities.
